Who is responsible

What we collect, why and how

We collect only what is needed to coach you. You or Roudy enter it in the app; nothing is collected in any other way.

• Account: your name, email, language and sign-in details (your password is stored scrambled). Our sign-in service also records device and IP address details for security.
• Your profile and program, set by Roudy: sex, age, height, starting and goal weight, your goal, program dates, plan and billing status, and Roudy’s private coaching notes.
• Your plan and what you log: your workout and meal plans, workouts, meals and foods you log, shopping list ticks and end-of-day notes.
• Check-ins: weight, waist, sleep, a note, and up to 3 progress photos, plus Roudy’s reply. Sending a check-in or a photo is your choice.
• Profile photo (optional): a round picture you choose to add. We keep a small, resized copy without camera data such as location. You can change or remove it at any time in the app.
• Food log and day summaries: the foods you add, their calories and macros, and, when you close a day, a summary of that day with an optional note for Roudy.

Why: only to create, run and follow your coaching program. We do not sell your information, show ads or use it for anything else. The app has no analytics and no advertising or tracking cookies.

Who has access, and where it is kept

Access: Roudy, and Team Roudfit members he authorizes, only as needed to coach you. Your information is not shared with anyone else. Your profile photo is visible to you and to Roudy. It is not shown to other members.

Service providers that host or process it for us:

• Supabase: database, sign-in and private photo storage, hosted in Canada (Central region, Montréal area).
• Cloudflare: hosting and delivery of the app.
• Open Food Facts (barcode lookup, only if you use it): if you scan or type a barcode, that barcode number is sent to Open Food Facts, a non-profit food database, to find the product. Their server sees your IP address. We send nothing else. The camera is used only on the barcode screen, after you tap to scan, and only to read the code; no image is saved or sent anywhere. You can refuse camera access and type the number instead.

Outside Québec: your information may be handled outside Québec, for example through Cloudflare’s global network or by our providers’ support staff. A barcode number you look up goes to Open Food Facts, whose servers may also be outside Québec.

How long we keep it

When your program ends: on the date Roudy marks you inactive, or 12 months after your last activity in the app (a logged workout or meal, a check-in, or signing in), whichever comes first.

• Progress photos and profile photos: 6 months after your program ends, then deleted. If you remove your profile photo yourself, it is deleted right away.
• Coaching data (profile, plans, logs, food log, day summaries, check-ins, notes) and your account: 12 months after your program ends, then deleted or anonymized. Anonymized means we remove your name, contact details and anything else that could identify you. We may keep only a bare record (plan type, purchase date, payment status and dates) where a legal or tax duty requires it.

Your rights and how to use them

You can ask us to:

• give you access to your information and a copy, including in a structured, commonly used format;
• correct information that is inaccurate, incomplete or equivocal;
• delete your information, or stop using it, when it is no longer needed or its keeping is not allowed;
• withdraw your consent at any time;
• stop disseminating your information or de-index a link to it (we do not publish your information online).

Send your request in writing to the person in charge (above). We reply in writing within 30 days. Access is free; reasonable fees for copying or sending may apply, and we tell you before charging.

Complaints

Please contact the person in charge first. If you disagree with our answer, or we do not answer within 30 days, you can file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca). Where the federal law (PIPEDA) applies, you can also contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).

Age

Roudfit Coach is for people 18 and over.

Changes

Any change is published on this page with a new effective date.
